How we automated conference outreach and booked 40+ meetings in 4 days

Let’s be honest: just “walking around and networking” at conferences doesn’t work.

If your calendar isn’t pre-booked, you’re not doing business — you’re sightseeing.

At Token2049, we took a different approach.

We built an automated outreach funnel ahead of time, filled the calendar before landing — and got results.

Our two main outreach channels

  1. Data gathering from niche Token2049-adjacent Telegram groups.

    Conversion was average, but it helped us reach attendees who weren't listed in the app database.

  2. Automated outreach via the conference networking app.

    This channel delivered 95% of all booked meetings — so I’ll focus on that below ⬇️

How the automation worked

We started by collecting the list of attendees from the networking app.

At first, we only had basic data: names, job titles, and company names. Then we layered automation on top:

Clay + PhantomBuster — enriched the database with company websites, LinkedIn profiles, and email addresses.

This allowed us to filter and build a clean, targeted ICP list later.

Google Apps ScriptApps Script in Google Sheets — segmented the database via AI agents, keeping only fintech, B2B-decision-makers (CEO, Head of Sales/Marketing, Operations).

Our custom internal tool — automated messaging directly through the conference app. The same stack we use for client projects.

Our SDR handled replies in real time, booked meetings via the app’s calendar, and mirrored them in my Google Calendar — complete with contact names, time slots, and meeting locations.

Result:

5000+ attendees → 500+ messages → 40+ meetings booked

How we structured the day

🕐 Mornings — fully scheduled, pre-confirmed meetings with qualified leads

🌍 Afternoons — organic networking, side events, and spontaneous intros

Also: don’t underestimate having a someone in the team helping you. Our SDR helped me stay on track, manage last-minute changes, and handle logistics. It frees you to focus entirely on conversations that actually move the needle.
